CASE STUDIES: Conference Rooms

Overview:

Oxfam America contacted us to help them with designing a solution for their Washington DC office. The primary challenges with Oxfam’s boardroom AV System Solution revolve around the position of conference table relative to the space available for display devices. Typically, a video conference space is oriented so that all of the participants are facing both the cameras and video displays. The concept is that the far end participants will have the impression that conference participants are making eye contact with them during the meeting.

Video conferencing is normally configured to give the sense of intimacy with the far end participants. Facial features, posture and group dynamics are normally items that are important to meeting participants. In the case of the boardroom, there are several spatial and configuration challenges that make this more challenging. These include: 1. There is a moveable conference room table with many seats available for potential participants. 2. The room has a low, hard ceiling relative to its length 3. The space allocated for the displays is small relative to the size of the displays and the variations in distance from the closest to furthest participant.

Oxfam had an existing 42" wall mounted plasma and a Polycom VSX 7000 mounted above the plasma. The plasma was mounted on an angled wall that made it difficult to be seen by all meeting participants. There was also a wall mounted screen and a ceiling mounted projector. There were three obtrusive Polycom ceiling mics and several ceiling mounted projectors.

The room was controlled by a consumer level remote that did not provide sufficient control over the rooms’s equipment and required the use of several remote controls. The Polycom visual concerts was never connected properly therefore sharing computer information with the far side was not possible.

Solution:

We contacted Multimedia Solutions to help us design and install the solution.

1) We removed the wall mounted plasma, the projection screen, and the ceiling projector and replace these with two Pioneer 60" 1635X768 WXGA plasma displays and mounted the Polycom 7000 over the two plasma displays.

2) We installed four Cardioid Condenser Boundary wireless Microphone with Integrated with a Clear One XAP 800 audio processor.

3) For phone teleconferencing we added a Clearone XAP TH2 – Telephone Hybrid telephone hybrid.

4) Installed a wireless Crestron Economical Dual Bus Control System. that controls all of the rooms equipment.

5) We provided for PC connectivity by properly connecting the Polycom Visual Concert.
